Copilot Prompts for Executives: What to Ask Copilot, Tool by Tool, Through the Week
Bottom line: Copilot prompts for executives work best tool by tool. Outlook for the inbox, Teams for meeting prep and recaps, Copilot Chat for numbers and plans, Word for decision briefs, and a scheduled prompt for Monday. Some work in free Copilot Chat. The ones that read your emails, chats and meetings need a paid license.
The CEO preps meetings and decision briefs. The CFO pressure-tests numbers. The business unit head writes the weekly update. (Claude or Gemini can take the paste-in prompts too).
I've worked with Gen AI and trained teams on it since early 2022, and so far I've run 264 AI sessions in 112 organisations (updated October 2026).
Copilot prompts for executives: the short version
Copilot comes in two versions. Copilot Chat is free on eligible work accounts and works on what you paste or upload (Microsoft Learn, October 2026). Microsoft 365 Copilot (now called Microsoft Copilot) is the paid license, and it reads your work data itself.
Every prompt gets one tag: Works in free Copilot Chat Needs a paid license or Depends on your tenant (for Word and PowerPoint inside the apps).
Write a prompt in four parts: goal, context, expectations, source. Only the goal is required, and sources go last (Microsoft Support, February 2026). Here's how to write a Copilot prompt. Think of the sections below as Copilot use cases for executives, grouped by the tool already open on your screen.
My rule for Microsoft 365 Copilot for executives: they get paid licenses first (along with your AI champions), and they learn them and actually use them (who gets a Copilot license first). Copilot drafts, you decide.
Outlook: your inbox and your messages to the company
Tool: Outlook. Copilot Chat in Outlook for executive communications is a pane inside Outlook that answers questions about your inbox, calendar and meetings. It doesn't replace Outlook (Microsoft Support, read October 2026).
Which unread emails are most important? Summarize them, synthesize any related context from my chats and documents, and prioritize the order in which I should respond.
Rewrite this message to the whole company about [the change]. Keep it calm and direct, under 150 words, with no corporate filler. Keep these three facts exactly as written: [fact 1], [fact 2], [fact 3].
Read the second one as the sender, since your name is on it. Here are more Outlook prompts here.
Teams meetings: prep before, questions during, recap after
Tool: Teams meetings. Copilot here needs a paid license, and your prompts are visible only to you (Microsoft Learn, August 2026). It doesn't work in meetings another organization hosts.
Satya Nadella shared five of the prompts he uses with Copilot in a LinkedIn post in September 2025 (reported by Fortune, 2 September 2025). Here are three.
Based on my prior interactions with [/person], give me 5 things likely top of mind for our next meeting.
Review [/select email] + prep me for the next meeting in [/series], based on past manager and team discussions.
Recap meeting summarizing key takeaways and action items as separate sections, including who's responsible for each.
No recording? The organizer can set Copilot to Only during the meeting. The speech-to-text data isn't saved, but retention policies may still keep prompts and answers (Microsoft Learn, August 2026). Copy what you need before it ends. More in using Copilot without recording and meeting notes prompts.
Copilot Chat and Researcher: numbers, plans and launches
Tool: Copilot Chat, plus Researcher. Researcher builds a cited report from the web and your work content, needs a paid license, and works best when you define its scope (Microsoft Learn, February 2026). See Researcher vs Analyst.
For the CEO
Are we on track for the [Product] launch in November? Check eng progress, pilot program results, risks. Give me a probability.
A probability from Copilot is an estimate from what it can read, so ask what it based the number on.
Past the routine, I want executives using Copilot as a strategic advisor (like having a McKinsey consultant at your side).
For the CFO
Compare actuals to budget in [file] by cost center. List the five largest variances, give the likely cause for each from the notes in the file, and show your calculation. Mark anything you can't verify.
The Analyst agent needs a paid license, runs Python and shows its code, so you can check the work (Microsoft Support, read September 2026). More in Excel prompts.
For the business unit head
Draft my weekly update to the leadership team from my emails, chats and meetings this week: progress against our targets, what slipped, the risks, and what I need from them.
Word and PowerPoint: from a long document to a decision brief
Tool: Word and PowerPoint. Inside the apps, what you get depends on your license and tenant (Microsoft Learn, September 2026). Also see PowerPoint prompts.
Rewrite this memo as a one-page decision brief: the decision, three options with trade-offs, your recommendation, and what would change it. Use only facts in the memo.
A week with Copilot for a CEO, a CFO or a business unit head
The best Copilot prompts for executives fit a rhythm. This one is a suggestion for this page, not a Microsoft recommendation.
| Day | Tool | What to ask | License |
|---|---|---|---|
| Monday | Outlook, scheduled prompt | Which unread emails matter most, plus a scheduled summary of the week's meetings. | Paid |
| Tuesday | Teams | What is top of mind for the people you meet next. | Paid |
| Wednesday | Teams, scheduled prompt | Questions in the meeting, a recap after it, a reminder of open follow-ups. | Paid |
| Thursday | Copilot Chat, Word | A one-page decision brief, or a variance check on an uploaded file. | Free Chat works with uploads |
| Friday | Copilot Chat | Where your time went. Nadella's version sorts a month of calendar and email into 5 to 7 project buckets (described, not quoted). | Paid, unless you paste the data in |
What not to paste, and what Copilot shouldn't decide
Follow your company's rules first. What you type into Copilot is stored and can be found by your admins, so sign in with your work account (Microsoft Learn, July and October 2026). Check every number, because mistakes in AI output can be hard to detect (Microsoft application card, August 2026).
Don't ask Copilot to decide anything about a person's job, pay or promotion. Microsoft warns against it, and those prompts live in Copilot prompts for performance reviews. For board papers and tenant settings, see the decisions leadership owns about Copilot and Copilot for board meetings.
Delegating? Microsoft ships an Executive Briefing Agent template for executives and their support teams (Microsoft Learn, May 2026). See Copilot for executive assistants.
Common questions
How should a CEO use Microsoft 365 Copilot every week?
Start the week with an inbox and meeting summary, use Teams to prepare before each meeting and to recap after, and keep one slot for a one-page decision brief. Copilot drafts, you decide.
What are the best Copilot prompts for executives?
The best Copilot prompts for executives state a clear goal and name where Copilot should look (Microsoft Support, February 2026). Satya Nadella shared one in a LinkedIn post in September 2025, as reported by Fortune: Based on my prior interactions with [/person], give me 5 things likely top of mind for our next meeting.
Which executive prompts work in free Copilot Chat and which need a paid license?
Prompts that work on text or files you paste or upload run in free Copilot Chat (Microsoft Learn, October 2026). Prompts that read your emails, chats and meetings on their own, such as meeting prep, recaps and Researcher, need a paid Microsoft 365 Copilot license.
How do I prepare for a meeting with Copilot?
Ask Copilot what is likely on the other person's mind, based on your past emails, chats and meetings with them. Nadella's prep prompt above does that, and since it reads your own work data, it needs a paid license.
Can Copilot help in a Teams meeting that isn't recorded?
Yes, if the organizer sets Copilot to Only during the meeting. The speech-to-text data isn't saved, but your company's retention policies may still keep prompts and answers (Microsoft Learn, August 2026). Copy what you need before it ends.
Can I trust the numbers Copilot gives me?
Check them. Microsoft tells users to review and validate Copilot's responses (Microsoft Support, February 2026). Ask it to show its calculation and mark anything it can't verify.
What should executives never paste into Copilot?
Follow your company's rules first, because what you type into Copilot is stored and can be found by your admins (Microsoft Learn, July 2026). Sign in with your work account, and don't ask Copilot to decide anything about a person's job, pay or promotion.
Practice it with Copilot open.
I train people on Copilot, so I like it when executives actually use it. For a hands-on session, see Copilot training for executives or an executive Copilot briefing.
