Copilot Prompts for Outlook That Actually Clear an Inbox
Bottom line: no single clever prompt clears an inbox. What clears it is 3 small jobs done fast: catch up, sort, reply. Copilot in Outlook handles all 3, as long as each prompt goes in the right place. Below are the prompts I'd use for each job, and what to check before you trust the answer.
Quick naming note: Microsoft 365 Copilot is now called Microsoft Copilot. I'll just say Copilot, and point out when something needs the paid licence.
Where Outlook prompts actually go
1Summary by Copilot, on a single thread
At the top of a thread, select Summary by Copilot (it may just say Summarize). No prompt needed. The summary comes with numbered citations that jump to the individual emails. In new Outlook, emails with a PDF, Word or PowerPoint attachment also get Summarize a file.
2Draft, in the compose window
Copilot icon in the toolbar, then Draft (classic Outlook calls it Draft with Copilot). Or just type / in the message. This is where reply prompts go.
3Copilot Chat, for the whole inbox
Anything that spans many emails goes in chat. Every business Microsoft 365 user gets Copilot Chat in Outlook, working on inbox, calendar, meetings and other limited data. The paid licence adds your Teams chats and company files.
Microsoft doesn't spell out cleanly which buttons need the paid licence (annoying, I know). Schedule with Copilot definitely does. From what its pages say, Draft and Coaching sit in the paid experience, and free users get Copilot Chat plus a Summarize button that opens it. No Copilot button at all? Which unread emails are most important? Summarize them, synthesize any related context from my chats and documents, and prioritize the order in which I should respond.
Prompts to sort and triage
Start with Prioritize my inbox. It gives every new email a high, normal or low priority, with a reason. On Windows, select the arrow next to the Copilot button, then Prioritize. It needs at least one high-priority instruction to get going, and Microsoft says phrases work better than single words. You can add more later under Settings > Copilot > Prioritize.
Mentions an invoice, a contract or a deadline this week.
Flag all unread emails from my manager.
Create a rule that moves every email from the weekly supplier newsletter into a folder called Read Later.
You may have read about Copilot archiving and deleting on its own. That's the Allow actions mode, a Frontier preview. Microsoft says this new default experience is not currently available to users in the EU. For most European readers, the manual version above is what you have.
Prompts to reply
Type these in: the Draft box, inside the reply.
Reply that Thursday works but Tuesday doesn't, suggest 10:00, keep it under 4 sentences and warm.
Draft a reply that acknowledges the sender's main points and responds clearly.
Then use the buttons instead of rewriting the prompt. New Outlook has Make it shorter, Make it longer and Change Tone (classic Outlook puts them under Adjust), Retry if it missed, Keep it when you're happy. Before a touchy email goes out, Coaching by Copilot reviews tone, clarity and reader sentiment.
My favourite underused setting: Draft Instructions. In new Outlook, open the dropdown next to the Copilot icon, then Settings > Draft Instructions, and tell it how you write. Every draft starts closer to your voice.
Prompts for the calendar side of the inbox
Schedule a 30-minute Teams meeting with Barbara about the Q1 sales report.
Show me meetings I haven't responded to next week? Do not offer to RSVP on my behalf.
Scheduling by chat handles up to 2 other people, so don't ask it to find a slot for 8. When a thread really should be a meeting, Schedule with Copilot (paid licence) builds the invite for you: title, agenda, people from the thread, and the thread itself attached.
What it gets wrong, and what to check
1Click the citations
A thread summary links each point to the email it came from. Click the 2 that matter most before you act on them.
2Language
On Mac and mobile, summaries default to the email's language. Microsoft says language detection is still coming to Windows and the web. Mixed German and English threads deserve a second look.
3The screen keeps moving
Microsoft rolled out a redesigned, chat-centred Copilot in Outlook in September 2026, and the Copilot entry point in classic Outlook moves between late September and late October 2026. If a button isn't where a screenshot says, look for the name.
4Read before you send
Microsoft's own line: review, edit and verify anything it creates. And note that a Copilot draft can raise the email's sensitivity label if the source material was labelled higher.
