Copilot Researcher vs Analyst: Which Agent for Which Job
The short answer: use Researcher when the answer is spread across documents, emails, meetings and the web, and you want a cited report. Use Analyst when the answer is sitting inside a spreadsheet or data file, and you want numbers you can check. Microsoft's own rule of thumb: Analyst is better suited for Excel-related tasks.
Both need a paid Copilot licence. Below: what each one reads, how long it takes, prompts for both, and what to check before you forward the result to your boss.
The difference in 4 lines

Researcher draws from the web and your work content: files, emails, meetings and chats you have access to. Analyst works on the data you give it, and Microsoft describes it as an assistant for data analysis that calculates statistics, finds trends and shows outliers.
2What you get back
Researcher delivers a source-cited report. Analyst runs Python, and you can watch the code it's running in real time and check its work. That last part is my favourite thing about it.
3How long it takes
Researcher answers simple queries in under 5 minutes, and highly complex ones in 10 to 45 minutes, per Microsoft's FAQ. Go get a coffee. Maybe 2.
4Where to find them
In the Copilot app, both sit under Agents in the left pane. You can also call @Researcher inside a regular chat, but then the model picker switches off and defaults to Auto. In Analyst, select the + icon and then Attach content to add your file.
And when you need neither? Microsoft's own table says a quick summary, a short reply or light brainstorming belongs in standard Copilot chat. Researcher is for deeper reasoning across several sources, and a report you can share.
Which agent for which job
1Competitor or market scan
Researcher. It mixes the web with what your own team already wrote about it.
2Board pre-read or client briefing
Researcher. Many documents, many threads, one cited summary.
3Sales, budget or survey file
Analyst. Trends, outliers, comparisons by region or quarter.
4Why did the numbers move?
Both, in order. Analyst finds the drop, then Researcher looks for the reason in emails and meeting notes.
5Summarise one document
Neither. Plain Copilot chat does it in seconds, and doesn't eat one of your monthly queries.
Researcher agent prompts
Microsoft gives 3 tips for Researcher: be specific, define the search scope (work, web or both), and engage with its clarifying questions. My prompts follow all 3.
Research how our 3 biggest competitors changed their pricing this year. Use the web and our sales team's emails and meeting notes. Give me a 1-page report with sources and a list of open questions.
Build a briefing for my meeting with [client] next week: what we sent them this year, open issues from our emails and chats, and recent news about the company. Cite everything.
Before you start, ask me 3 questions about who will read this report and what decision it should support.
Analyst agent prompts
Microsoft's own example is Compare sales data by region and quarter and highlight key trends. Good start. Name your actual columns and it gets better.
Using the attached sales file, compare Revenue by Region and Quarter and show me the 3 biggest changes. Show the Python you used.
Find the outliers in the Discount column and tell me which customers they belong to.
Remove duplicate rows by Order ID, then give me monthly totals as a table.
Licence, limits and the EU question
1Licence
Researcher is available to business and enterprise users with a Microsoft 365 Copilot add-on licence (Microsoft 365 Copilot is now called Microsoft Copilot). No Microsoft page lists Researcher or Analyst for free Copilot Chat users.
2Query cap
At launch in June 2025, Microsoft set 25 combined Researcher and Analyst queries per user per month. I haven't found a newer number from Microsoft, so treat it as a guide and check with your admin.
3No usage report
Microsoft's FAQ says there's no reporting tool for agents like Researcher and Analyst. So don't expect a dashboard of who used their 25.
4Claude inside Researcher
Researcher supports Anthropic models, if your admin allows them. Anthropic models are currently excluded from the EU Data Boundary, and they're off by default for EU and UK customers. So the safe wording is: Researcher with the default models stays in the EU boundary, choosing Claude doesn't. More in my Copilot GDPR and EU data residency guide.
5Websites
Admins can't block specific websites in Researcher. The only control is the global web search toggle.
