Copilot Prompt Gallery: How to Find It, Save Your Prompts and Share Them
The short answer: the Prompt Gallery is Microsoft's official prompt library in Copilot. It has 3 sections: Suggested (Microsoft's prompts), Your Prompts (the ones you saved) and Teams (the ones your team saved). Anyone can browse Microsoft's prompts on the web at Copilot Prompts, but trying one takes a sign-in. Prompts your company curates sit in Prompt Lab, if your admin added any.

Where to find the Copilot Prompt Gallery
1On the web: browse without signing in
The public version is called Copilot Prompts, at m365.cloud.microsoft/copilot-prompts. Without signing in you only see Microsoft-authored prompts. To try one in Copilot, you have to sign in.
2Inside Copilot
Microsoft describes the gallery as a resource of Microsoft-created prompts, videos and articles, inside Copilot. Microsoft is also reshaping the Copilot home screen right now (it announced a new Home on 25 September 2026, rolling out to the Frontier program first), so go by the section names below, not by where a button sat in an old screenshot.
3Prompt Lab: your company's prompts
Microsoft's Insider blog puts it under the prompt box: select Suggested to see suggested custom prompts, and More prompts to see all of them. Prompt Lab only shows up if your admin has added custom prompts to your tenant. No admin prompts, no Prompt Lab.

3 ways to keep a prompt you'll use again
Saving is only one of them. Pick by how you'll use the prompt.
1You run it by hand: Your Prompts
The weekly status update, the meeting recap, the reply you write every week. Save it, reuse it, tweak the brackets.
2You run it on a timetable: schedule it
Hover over a prompt in Copilot Chat and select Schedule this prompt, choose when and how many times it runs, then Save. It needs the paid license, and you get up to 10. Here's how scheduled prompts work.
3You repeat the same rule in every prompt: custom instructions
If half your prompt is always use bullets, British English, bottom line first, that half belongs in Copilot custom instructions.
Write a prompt that's worth saving
Microsoft's own framework has 4 parts: goal, context, expectations, source. Only the goal is required. And Microsoft's tip: later parts of a prompt are likely to be emphasized more than earlier parts, so put the source last.
For a saved prompt I add one thing: square brackets for whatever changes each time. Then anyone on the team can reuse it without rewriting it.
Summarize this week's updates on [project] for my manager, who has 2 minutes. 5 bullets, risks first. Use my emails and Teams chats about [project].
Draft a reply to [client] that confirms [decision], suggests 2 times for a follow-up call and stays under 100 words.
Turn the notes in [file] into a one-page status update with 3 headings: done, next, blocked. Put an owner and a date next to each item.
Gallery prompts worth stealing
These come straight from Microsoft's Copilot Prompt Gallery on its adoption site. Plain, specific, reusable. That's the bar.
Recap meeting summarizing key takeaways and action items as separate sections, including who's responsible for each.
List all open questions raised during the meeting that have not yet been answered or resolved.
Review recent email messages and Teams chats. Summarize important updates, direct mentions, and assigned actions in bullet points.

What to check before you trust a saved prompt
1Same prompt, different answer
Microsoft says it plainly: using the same prompt several times can give different responses. Treat a saved prompt as a starting point.
2Work data needs the license
Prompts that pull from your work content (chats, email and files) assume the paid Copilot license. Free Copilot Chat is mainly web-grounded plus what you upload, with limited grounding inside Outlook. A team prompt that works for licensed colleagues may come back thin for everyone else.
3Read the answer
Microsoft's own guidance: review and validate responses for accuracy. Especially the ones you run every week without looking.

Can I share Copilot prompts with my team?
That's what the Teams section of the Prompt Gallery is for: prompts created and saved by your team. Company-wide prompts curated by an admin appear in Prompt Lab.
How do admins add prompts for the organization?
Admins add custom prompts to the tenant, and users then find them in Prompt Lab, under the prompt box via Suggested or More prompts. If your admin hasn't added any, Prompt Lab doesn't appear. The sources I used describe the user view only, so ask IT for the admin-side steps.
