Copilot Workshop
for Procurement Teams
Buyers, category managers and contract teams use Copilot on their own quotes, contracts and supplier emails
Bottom line: a hands-on session where buyers, category managers, supplier managers and tender teams use Microsoft 365 Copilot on their own work, and leave with the prompts they wrote on their own real tasks.
Your people already try Copilot, Claude or Gemini on the side. Here they learn how it changes what they do all day: comparing quotes, reading contracts, writing to suppliers. I've worked and trained on Gen AI since early 2022, and I've run 264 AI sessions in 112 organisations (updated October 2026).
Why procurement needs its own Copilot session
The licences are there. Buyers still compare 3 quotes by hand, retype payment terms from a contract into Excel and write the same supplier email from scratch. Generic training uses a sample invoice, and nobody's job looks like a sample invoice.
According to Recon Analytics (February 2026), only 35.8% of US workers who have Copilot available at work use it as their main AI tool (that's from their survey of 150,000+ respondents, US only). A licence gives access, not habits. Here's why Copilot rollouts stall. Use starts when people practise on their own work, which is the idea behind this training. The company-wide version is Microsoft Copilot training for companies.
What buyers, category managers and contract teams practise
You bring your real procurement work and write the prompts yourself. One example per role.
01Buyers: compare supplier quotes
Yes, Copilot can compare supplier quotes. 3 quotes in 3 formats go into one table, with the differences in price, payment terms and delivery times flagged. Then you ask what each supplier left out, and draft the clarification questions.
02Category and contract managers: extract contract terms
Payment terms, renewal dates and notice periods pulled out of your contracts into a table. Then a renewals map: what comes up in the next 6 months, and who needs a call.
03Supplier managers: meetings into actions
A supplier meeting in Teams becomes a summary with owners and dates, and a follow-up email you edit instead of write.
04Tender and RFx teams: first drafts
A specification outline, a clarification request, a polite rejection letter. Copilot writes version 1, you write the version that goes out.
05Procurement leads: a simple agent
A first agent over your contracts folder, so a question about a clause gets an answer with the document next to it.
Check it, don't let it guess
In quotes and contracts, a creative guess is the last thing you want. So the workshop also practises checking: ask Copilot to say "not found" instead of filling a gap, and verify every number against the original before it goes back to a supplier.
What Microsoft 365 Copilot sees in procurement, and what it doesn't
Does it connect to your procurement system or ERP? Not on its own. Microsoft 365 Copilot works on files, email, chats and meetings the user can open. A scanned PDF with no text, or a file saved only on a laptop, is invisible to it. The workshop runs on Microsoft 365 Copilot and what your team already has.
Copilot only surfaces what the user can already open. So the real risk is rarely Copilot itself. It's an over-shared contracts folder that half the company can already see.
How the Copilot workshop for procurement teams runs
It runs 1.5 to 4 hours depending on the format, with up to 20 participants, online or at your offices. A bigger procurement group splits into 2 workshops. We agree the details on a short call.
Procurement chooses, negotiates and contracts the supplier. Accounting pays and reconciles. If that second half is your team, there's the accounting team version. For mixed roles in one room, there's our general Copilot workshop. A buyer who becomes the team's go-to Copilot person? That's Copilot Champions training.
Who runs it
I'm an AI consultant and trainer, focused on AI transformation and using AI at work. Organisations I have worked with include Intel, Roche, Amdocs, Elbit Systems and ZIM (the full list is above).
Common questions
What do procurement teams practise in a Copilot workshop?
You bring your real procurement work and write the prompts yourself: comparing 3 supplier quotes in 3 formats, summarising a supplier meeting with owners and dates, drafting a clarification request or a first spec, pulling contract terms into a renewal table. Each participant leaves with the prompts they wrote on those tasks.
Can Microsoft 365 Copilot help compare supplier quotes?
Yes. You can ask Copilot to put several quotes into one table, flag the differences in price, payment terms and delivery times, and draft clarification questions for each supplier. Then you check every number against the original before anything goes back to a supplier. The workshop practises both parts.
Does Copilot connect to our procurement system or ERP?
Not on its own. Microsoft 365 Copilot works on what your team already has in Microsoft 365: files, email and Teams meetings. A scanned PDF with no text, or a file saved only on a laptop, is invisible to it. The workshop doesn't promise an ERP connection.
How long is a Copilot workshop for procurement, and how many people can attend?
Between 1.5 and 4 hours, depending on the format, for up to 20 participants. A bigger procurement group splits into 2 workshops, and there's more on Copilot training for large organisations.
Can the procurement workshop run online, or does it have to be on site?
Both work, with the same hands-on format and the same limit of 20 people. We pick the format on a short call.
Why aren't our Copilot licences turning into real use in procurement?
A licence gives access, not habits. According to Recon Analytics (February 2026), only 35.8% of US workers who have Copilot available at work use it as their main AI tool. Use starts when people practise on their own work, which is what this workshop is for.
Does every participant need a Copilot licence?
It works best when every participant has Copilot assigned at work, because you practise on your own files and email. We check that on a short call before the workshop. Your colleagues in finance teams get their own session, because their tasks differ.
