Copilot Not Showing in Outlook or Word? The Fix List
Bottom line: if you're on classic Outlook for Windows and the Copilot buttons vanished after an update, it's probably not you. Microsoft has an open known issue: from build 20026.20182, classic Outlook loses its Copilot entry points, for free and paid users alike. On 15 September 2026 the status was still Investigating. The workaround is new Outlook or Outlook on the web.
Not on classic Outlook? Then it's your licence, your account, your update channel or a setting. And in Word, Copilot most likely just moved to the lower-right corner.
Copilot missing from classic Outlook: the known issue
Microsoft's own wording: after classic Outlook for Windows updates to build 20026.20182 and higher, you no longer have Copilot Chat or Copilot entry points in Outlook. It hits people with Copilot Chat (Basic) and people with a paid M365 Copilot (Premium) account. So paying doesn't protect you here.
The symptoms Microsoft lists:

And if you try to add it through ribbon customisation, the command may show as unavailable or greyed out.
The workarounds, again straight from Microsoft: switch to new Outlook or Outlook on the web, or create a new Outlook profile. You can also turn on Show Apps in Outlook: File > Options > Advanced, then under Outlook panes, tick Show Apps in Outlook.
Also this autumn: Microsoft is moving the classic Outlook Copilot button to a new spot next to the ribbon (late September to late October 2026). And classic Outlook now has a Copilot settings entry under the File menu, so check it isn't switched off there.
Check which licence you actually have
Sign in to microsoft365.com and scroll to the bottom of the home page. Under your name you'll see one of 3 labels: Copilot Chat (Basic), M365 Copilot (Basic) or M365 Copilot (Premium). Premium means the paid add-on (Microsoft 365 Copilot, now called Microsoft Copilot).
The confusing part: every user with an eligible work subscription gets Copilot Chat in Outlook, paid or not, and can ask about their inbox, calendar and meetings. Some features are paid-only though, like Schedule with Copilot. I break down the full split in Copilot Chat vs Microsoft 365 Copilot.
Licence just assigned? Microsoft says some apps can take up to 24 hours to show Copilot, and you may need to restart or refresh.
Still nothing? Refresh it yourself. On Windows, go to File > Account, select Update License, then close and restart all your Microsoft 365 apps. On a Mac: About, then More Info, then Refresh License. And while you're on File > Account, check you're signed in with your work account. A personal account on a work machine looks exactly like a missing licence.
The Outlook-only causes
1Your mailbox isn't on Exchange Online
Microsoft says Copilot scenarios aren't supported on mailboxes hosted anywhere else. So a Gmail, IMAP or POP account in Outlook won't get Copilot.
2You're in a shared or group mailbox
Group mailboxes never get Copilot. Shared and delegate mailboxes got support in new Outlook, web, Mac and mobile for licensed users during 2026, but not yet in classic Outlook. (Microsoft's own pages disagree on this one, which tells you how fresh it is.)
3Someone switched Copilot off
Outlook has a Turn on Copilot toggle. In Outlook on the web and new Outlook it's under Settings > Copilot. On Mac, iOS and Android it's under Quick Settings > Copilot. The setting roams, so switching it off on your phone switches it off on your laptop too.
4You're on legacy Outlook for Mac
Copilot needs the latest Outlook for Mac. Legacy Outlook isn't supported.
5Copilot is greyed out on one email
Check the email before the licence. Copilot doesn't work on signed or encrypted emails, emails with IRM, or some sensitivity-labelled emails.
Channel, privacy and admin settings
Update channel. On Semi-Annual Enterprise Channel, Microsoft says Copilot features aren't available. You need Current Channel or Monthly Enterprise Channel. From version 2606 (July 2026) Microsoft is merging the 2 enterprise channels, so this is getting rarer. To check, go to File > Account and look under Product Information.
Privacy settings. File > Account > Account Privacy > Manage Settings. Experiences that analyze your content and All connected experiences both need to be on. On a managed laptop, those belong to IT.
Admin settings. If your admin set Copilot Chat to Do not pin, it isn't available by default in Outlook and Teams. If they blocked it, it's gone everywhere, including the Copilot app.
Network and licensing model. copilot.cloud.microsoft must not be blocked, WebSocket (WSS) connections must work, and device-based licensing for Microsoft 365 Apps for enterprise doesn't support Copilot.
The Get Help app has 2 Copilot troubleshooters, one for licences and one for connectivity. And one myth to kill: Microsoft publishes no minimum Outlook build for Copilot. Ignore anyone quoting one.
Copilot not showing in Word
Microsoft's troubleshooting page opens with "The button moved, so it might not be missing." Between April and June 2026 Copilot in Word moved into one floating button in the lower-right corner of the document (Microsoft calls it the Copilot Dynamic Action Button). The old icon in the left margin is gone.
Press F6. It works on every platform. Alt+C on Windows and web, and Cmd+Control+I on Mac, are rolling out too. Want the ribbon back? Right-click the button and choose Move to ribbon (Windows build 16.0.20129.15140 or later, Mac 16.109.525.2 or later). Can't see it at all? It may be docked at the side of the page (on the left in right-to-left documents).
Truly missing? Run the checks above (licence label, Update License, channel, privacy), then these:
1Your label says Copilot Chat (Basic)
That label means no Copilot in Word, Excel, PowerPoint or OneNote. On 15 April 2026 Microsoft removed the free Copilot Chat from those apps for unlicensed users in large organisations. The often-quoted line of more than 2,000 users isn't in Microsoft's public docs, so treat it as unconfirmed.
2The file lives in Dropbox or another third-party store
Microsoft says this can trigger licence errors. Move or copy the file to OneDrive or SharePoint and try again.
3You're in Word for the web
Copilot in Word Online needs third-party cookies. Allow them and reload.
4You switched it off (personal accounts)
File > Options > Copilot, and tick Enable Copilot again. Work accounts don't have this checkbox.

Otherwise check your licence label, refresh the licence under File > Account, confirm your mailbox is on Exchange Online and that Copilot isn't switched off in Outlook's settings.
How do I get Copilot back in classic Outlook?

Why is Copilot not showing in Word?
It probably moved. Since April to June 2026 Copilot in Word sits in a button in the lower-right corner of the document. Press F6 to open it, or right-click the button and choose Move to ribbon.
Why is Copilot greyed out in Outlook?
If it's greyed out on one message, the email is probably signed, encrypted or protected with IRM, and Copilot doesn't work on those. If the ribbon command itself is greyed out in classic Outlook, that matches the known issue on build 20026.20182 and higher.
