Copilot in Outlook Calendar: Schedule Meetings, Find Time, Set the Rules
The short answer: Copilot can help with your Outlook calendar in a few ways. It finds a time and sets up a meeting from a chat prompt (with up to 2 other people), turns an email thread into an invite, drafts an agenda and a prep summary, and follows standing Calendar Instructions like auto-accepting meetings from your manager. Free Copilot Chat in Outlook can take action in your calendar too (Microsoft's own example is scheduling a meeting with your manager). The thread-to-invite button needs the paid license.

What's free and what needs the paid license
Naming first. Microsoft 365 Copilot (now called Microsoft Copilot) is the paid add-on, here the paid license. Copilot Chat is the free one that comes with a business Microsoft 365 subscription.
1Free: chat about your calendar
Every business user gets Copilot Chat in Outlook, and Microsoft says it can answer questions about your inbox, calendar and meetings and take action in Outlook. One of Microsoft's own examples for people without the add-on: Schedule a meeting with my manager.
2Paid: Schedule with Copilot
The button that turns an email thread into an invite needs the Microsoft Copilot license. So do the calendar actions Microsoft is testing in its Frontier program.
3Not spelled out
I couldn't confirm a license requirement for the agenda draft, meeting prep or Calendar Instructions, so I won't guess. If something is missing, check your label first: sign in to microsoft365.com and look under your name for Copilot Chat (Basic), M365 Copilot (Basic) or M365 Copilot (Premium).
Find a time and book it by chat
Select the Copilot button to the right of the ribbon and type what you need. Copilot checks the attendees' calendars and suggests a time that works for everyone. It can also add other events to your calendar, like focus time.
Find 45 minutes with Dana and Tom next week for the budget review, mornings only, and set it up as a Teams meeting.
Block 2 hours of focus time on Thursday afternoon and call it Q4 forecast.
Triage my meetings tomorrow and suggest where I might get time back.
Turn an email thread into a meeting
This is the one I like most (paid license). Some threads should have been a meeting a while ago.
1Find the button
In new Outlook, open the thread and select Schedule with Copilot in the toolbar. Not there? Try More options, then Other reply actions, then Schedule with Copilot, or add it with customized actions.
2What it fills in
A meeting title, an agenda, the people on the thread as attendees, and the thread itself attached to the invite.
3Why the agenda came out empty
If the thread doesn't say much about future actions, Copilot leaves the agenda out. It also skips content from discussions classified as confidential. Microsoft documents this behavior. Write the 2 lines yourself.
Agendas and meeting prep
1Auto draft an agenda
In the meeting form, select the Copilot button or press Alt+i, then choose Auto draft an agenda. Edit it before you send (it's a draft, not a decision).
2Prepare for this meeting
Open the meeting event in Outlook on the web or new Outlook for Windows. The prep content shows at the top. Microsoft also lists Teams, Mac and Outlook mobile.
3Why prep is sometimes blank
Prep summaries only appear for 1:1 meetings and meetings with related content to summarize. And your admin needs Meeting Insights switched on, under Microsoft 365 admin center, Search & Intelligence, Configurations, Manage Meeting Insights settings.
4Your summary isn't theirs
Each person sees a different prep summary, based on what they have permission to access. Don't forward yours to the room as the official briefing.

Calendar Instructions: rules Copilot follows for you
If you only set up one thing from this page, make it this. Calendar Instructions are standing rules for incoming invites: auto-accept important meetings from specific people or by subject when you're free, auto-decline, follow, and remove cancelled meetings. They work in new Outlook and in the Microsoft Copilot app.
1Where to set them
Select Settings, then Copilot, then Calendar instructions, then Create instructions.
Always accept meetings from my manager if my calendar is free
Always decline meetings that conflict with existing meetings
When an invite's subject mentions the steering committee and my calendar is free, accept it.
2They run when Outlook is closed
They work in the cloud, so they apply even when your desktop app isn't open. But if you also have Outlook's built-in auto-decline setting on, Microsoft warns it might act before Copilot checks your other instructions. Pick one.
3Not seeing it yet?
Microsoft's calendar agent actions started in the Frontier program in late April 2026, for paid-license users. The support page for Calendar Instructions carries no Frontier label, but treat the whole area as rolling out, not as something every tenant has today.
Preview: Copilot that rearranges your week
In Frontier (Microsoft's early-access program), with the paid license and Allow Actions switched on in Copilot Chat, the calendar agent can respond to meeting invites, resolve 1:1 conflicts by rescheduling, rebook meeting rooms and block focus time. Microsoft lists Outlook for Windows and the web, from 27 April 2026.
It's a preview, so don't build a team process on it yet. European readers: Microsoft says its agentic inbox experience is not currently available to users in the EU, and I found no EU confirmation for the calendar actions. Check your tenant before you plan around it.
Just want an email to go out later? That's plain Outlook
No Copilot needed. In new Outlook and the web, select the dropdown next to Send, then Schedule send. The message waits in Drafts, and Cancel send stops it. In classic Outlook, use Do not deliver before under Options (it waits in the Outbox, and Outlook has to be online). Schedule send doesn't work for IMAP or POP accounts.
What it gets wrong, and what to check
1Check the time zone and the people
Microsoft's own line: review, edit and verify anything Copilot creates. For invites that means attendees, time zone and the Teams link.
2The screen keeps moving
Microsoft's redesigned Copilot in Outlook is generally available from September 2026, and the Copilot entry point in classic Outlook moves between late September and late October 2026. If a button isn't where a screenshot says, search for its name.
3Exchange Online only
Copilot doesn't work on mailboxes that aren't hosted on Exchange Online.
