Copilot for Project Managers: Prompts, Planner and Status Reports
Bottom line: for a project manager, Copilot is worth it on 3 jobs: the weekly status report, turning meetings into tasks, and chasing follow-ups. Each job lives in a different place. Planner Agent sits in Planner, Facilitator sits in your Teams meetings, and Copilot Chat covers everything buried in email and chats.
Almost all of it needs the paid Copilot licence (Microsoft 365 Copilot, now called Microsoft Copilot). Below: where to go, what to type, and what to check before it reaches a steering committee.
Planner Agent: status reports from the plan itself
If you remember the Project Manager agent, this is the same thing with a new name. Microsoft renamed it Planner Agent in March 2026, with no change in what it does, and it became generally available on 15 June 2026 for users with the paid Copilot licence.
2 things I like about it. Everything it creates (plans, tasks, updates) arrives as a draft by default, so nothing lands in the plan without you. And it writes status reports from the plan: progress, milestones, risks and next steps.
Create a comprehensive update on high-priority items for the leadership team.
Create a status update for the steering committee: what finished since last Monday, what's late and why, and the 3 decisions we need from them.
Status reports from email and chats
A lot of project news never makes it into Planner. It's in email threads and Teams chats. That's a Copilot Chat job, and the paid licence is what lets it read your chats and files.
Summarise every email and Teams chat about Project Atlas from the last 7 days. Group them by workstream and flag anything that sounds like a delay.
Draft this week's status email for Project Atlas: done, next, blocked, decisions needed. Under 200 words, with the blocked items in a table. Use the Atlas plan workbook and last week's steering committee deck.
Notice where the files go in that second prompt: at the end. That's Microsoft's own advice. Later parts of a prompt get more weight, so if you want Copilot to use specific files, put them last.
Prompts for project risks
Microsoft doesn't publish a risk prompt for Copilot Chat (the risk features you'll find in search belong to Dynamics 365 Project Operations, a different product). So these 2 are mine.
Look through this month's emails, chats and meeting notes about Project Atlas. List anything that sounds like a risk, a slipped date or a dependency nobody answered. For each one, tell me where it came from.
Turn that list into a table: risk, likelihood, impact, owner, next step. Leave the owner empty if nobody was named.
From meeting to Planner tasks
Add Facilitator to your project meetings (meeting options, Copilot and other AI, Facilitator toggle). It captures tasks during the meeting into the shared notes, and Accept to sync in Follow-up tasks sends them to Planner. That Planner sync is still a public preview.

Facilitator works in scheduled meetings only for now, with channel meetings planned from mid-November 2026. Everything you ask it is visible to the whole meeting. More prompts for the meeting side are in Copilot prompts for meeting notes and minutes.
Follow-ups on a timer
Microsoft's own example of a scheduled prompt could have been written for PMs: every Wednesday, a prompt that reminds you of messages and tasks from earlier in the week that still need follow-up. Scheduled prompts need the paid licence, and you get up to 10.

Want Copilot to send the status update as well as draft it? That's Copilot Cowork, whose Communications skill covers status updates and follow-ups. It needs the paid licence plus usage-based billing, and it's off until your admin switches it on.
What it gets wrong, and what to check
1It only knows what you can see
Copilot works from content you have access to. If the supplier escalation went to your sponsor and not to you, it's not in your report.
2Same prompt, different answer
Microsoft says it plainly: the same prompt can give different responses. For a weekly report, keep the prompt fixed and compare the output against last week's.
3Review before it goes up
Microsoft's own guidance is to review and validate responses for accuracy. For a steering committee, check every date and every name.

How can project managers use Copilot?
For status reports from Planner or from email and chats, for turning meeting discussions into Planner tasks with Facilitator, and for scheduled follow-up reminders. Risk lists work too, with your own judgment on top.

Do I need a paid licence for Copilot in Planner?
Yes. Planner Agent is available to users with a paid Copilot licence. The same goes for Facilitator in Teams meetings and for scheduled prompts.
